What to put on an invoice so your customer can claim the tax

Customers who are GST/HST registrants need certain details to claim input tax credits. The CRA’s requirements depend on the amount:

Sale amount (incl. tax)Information required
Under $100Your business or trading name, the invoice date, and the total amount.
$100 to $499.99All of the above, plus your GST/HST registration number and the GST/HST charged (or the total with a note that tax is included and the rate).
$500 or moreAll of the above, plus the customer’s name, the payment terms, and a description of each item.

This generator includes every field, so your invoices meet the $500-and-over requirements.

How to create your invoice

  1. Add your business. Your name, address and GST/HST number (9 digits + RT0001) are remembered for next time.
  2. Choose the customer’s province. It sets the tax: HST in Ontario and the Atlantic provinces, GST elsewhere, plus PST or QST if you collect it.
  3. List the items. Untick “Taxable” for zero-rated or exempt items.
  4. Print or save as PDF. In the print window, choose “Save as PDF” as the destination.

Frequently asked questions

What must a GST/HST invoice include?
For sales of $500 or more: your business name, GST/HST number, the invoice date, the customer’s name, payment terms, a description of each item, the total, and the GST/HST charged (or a note that tax is included and the rate). Smaller invoices need less — see the table on this page.
Which province’s tax do I charge?
Generally the rate of the province where the customer receives the goods or services — for example 13% HST for an Ontario customer even if your business is in Alberta. Choose the customer’s province and the invoice uses the right rate.
Do I charge PST or QST to customers in other provinces?
Only if you are registered to collect that province’s tax. Out-of-province businesses often are not, so the PST/QST box is a separate choice.
I’m not registered for GST/HST. Can I still use this?
Yes. Tick “I’m not registered” and the invoice shows no tax and a short note. Small suppliers with $30,000 or less in sales over four quarters don’t have to register.
Is my information saved or sent anywhere?
Your business details and the current invoice are saved in your browser on this device only, so they are there next time. Nothing is sent to our servers.
